Before the appointment
- Booking confirmation sent promptly, with clear details (time, location, what to expect/bring)
- A reminder message closer to the appointment date
- Any new-client intake form or paperwork available in advance, not sprung on them at arrival
At arrival
- A warm, prompt greeting — new clients notice being kept waiting more than regulars do
- A brief orientation if your space isn't immediately intuitive (where to wait, where the restroom is)
- Introduce the staff member performing their service if it isn't already obvious
During the service
- A brief consultation or check-in about their goals/expectations, especially for a first visit
- Clear communication about what's being done, especially for services with jargon a new client may not know
At checkout
- Clear explanation of pricing before checkout, not a surprise total
- A natural mention of rebooking (see our Rebooking Strategy Guide)
- Aftercare guidance if relevant to the service
After the visit
- A follow-up message checking in on their experience
- A natural opening (not pressure) to ask for a review once they've expressed satisfaction
A new client's first visit disproportionately determines whether they return — investing more deliberate attention in this checklist than you would for a long-time regular's routine visit pays off in retention.
